Change or cancel an appointment

If you would like to change or cancel an appointment, you can send your enquiry through the online reception. Use the access provided on this page. To cancel, you can also use the cancellation option in your appointment confirmation email. Please let us know as early as possible so that we can offer the appointment to other patients.

You can see the available options in the online reception. If none fits your enquiry or a response is unclear, please call us. Submitting an enquiry does not confirm a new appointment. 03836 200893

Three steps to a cancellation or change request

Please cancel an appointment you no longer need at least 24 hours in advance, counting working days only. Saturdays, Sundays and public holidays do not count towards this period. For an appointment on Monday at 10 am, this means cancelling by Friday at 10 am. If you become ill at short notice or cannot attend for another unforeseen reason, please still let us know as soon as possible.

  1. Use the button to open the online reception and select the appropriate enquiry for a cancellation or appointment change.
  2. State which appointment is affected. Your name and the date and time are helpful.
  3. Submit your enquiry and check the reply. When changing an appointment, the new time is only fixed once the relevant confirmation is received. If submission fails or the status remains unclear, please call us.

Alternatively, you can use the cancellation option in your appointment confirmation email. If you cannot attend at short notice, please still let us know as soon as possible.

Further information

Arranging a different time

If you need a different time, select “Reschedule appointment” in the online reception. State which existing appointment you would like to change and follow the steps shown. The confirmation of the new appointment is decisive. Cancellation alone does not arrange a replacement appointment. If you need a new appointment independently of an existing arrangement, use “Arrange appointment” or the online calendar through “Book an appointment”. “Appointments & enquiries” helps you choose the appropriate option. For treatment already planned, do not select another appointment type just to obtain a free time slot. Please clarify any uncertainty about the appropriate category with the practice.

If the email is missing or access does not work

If you can no longer find the appointment confirmation email or the access link it contains does not work, use the online reception on our homepage. You can start the relevant process through “Cancel appointment” or “Reschedule appointment”. Have your name and the date and time of the affected appointment ready, if you have these details. You can also contact the practice by telephone or arrange a change with us in person. The details are available under “Contact and directions”. Tell us whether you have already tried to change or cancel the appointment and what reply you received. If the booking status is unclear, clarifying it together is more helpful than booking again just in case.

What to expect and next steps

Cancelling through the appointment confirmation email

Open the email we sent to confirm the appointment concerned and use the cancellation option provided in it. Check the date and time first, particularly if you have several appointments. Then follow the instructions shown. Please complete the cancellation in full and look for our final confirmation by email. If you remain unsure whether your cancellation has arrived, please check with us.

Cancelling through the online reception

Open the online reception through “Go to online reception” and select “Cancel appointment”. Enter the details requested there so that your appointment can be identified, and follow the further instructions. Please have the date and time of the appointment you want to cancel ready. Then check what the reply confirms. A message acknowledging receipt of your enquiry is not yet confirmation that the appointment has been cancelled. If completion remains unclear, please telephone the practice and mention that you have already submitted the cancellation.

If your concern has changed as well as the appointment

Sometimes an appointment change also concerns a different question from the original arrangement. Please mention this change when contacting us. For continuing treatment already recommended, additional information is available on the relevant service page. Guidance on the appropriate response to acute symptoms is brought together under “Acute symptoms and emergencies”.

Cancelling in good time and freeing appointments for others

Every appointment released in good time can help someone else. Please cancel an appointment you no longer need at least 24 hours in advance, counting working days only. Saturdays, Sundays and public holidays do not count towards this period. For an appointment on Monday at 10 am, this means cancelling by Friday at 10 am. This allows us to use consultation time for your treatment and that of other patients. If you become ill at short notice or cannot attend for another unforeseen reason, please still let us know as soon as possible. Please cancel your appointment as soon as you know you cannot attend. The earlier you inform us, the sooner we can offer the appointment to someone else. If you do not attend an appointment reserved exclusively for you, or cancel it too late, a missed-appointment fee of 50 euros may apply if the appointment could not be allocated to someone else. You remain entitled to show that no loss, or a substantially smaller loss, occurred. If you repeatedly miss appointments without cancelling in good time, we will arrange further appointments with you personally at the practice. Online booking will then no longer be available. We will discuss this with you and clarify together how future appointments can be attended reliably.

Frequently asked questions

Can I cancel my appointment through the appointment confirmation email?
Yes. Use the cancellation option in the appointment confirmation email you received from us. Check that it is the correct appointment and look for our final confirmation by email. If the status is unclear, please contact the practice.
Do I automatically receive a new appointment after cancelling?
No. If you would like to reschedule, select “Reschedule appointment” in the online reception. The confirmation of the new appointment is decisive. Simply cancelling through “Cancel appointment” or the appointment confirmation email does not arrange a replacement appointment.
What should I do if I can no longer find the appointment confirmation email?
Use the online reception through “Go to online reception” or contact the practice by telephone. Your name and the date and time of the appointment allow us to identify your enquiry. If you do not have all these details, explain which appointment you mean when contacting us.
I have several appointments. Does one cancellation apply to all of them?
Please do not assume so. Check which appointment your entries and the reply refer to. If several appointments are affected, explicitly agree with the practice which ones should be changed or cancelled.
How early should I cancel an appointment?
Please cancel an appointment you no longer need at least 24 hours in advance, counting working days only. Saturdays, Sundays and public holidays do not count towards this period. For an appointment on Monday at 10 am, this means cancelling by Friday at 10 am. If you become ill at short notice or cannot attend for another unforeseen reason, please still let us know as soon as possible.
