Understanding

A closer look

You would like to book an appointment, reschedule or cancel an existing appointment, or send a prescription request to the practice. Perhaps you cannot make a phone call at the moment and would prefer to deal with your enquiry in your own time. You can use our online reception for this. Access it through “Go to online reception” or the entry point on our homepage. A brief, specific message is more helpful than a detailed medical history. Explain what you need and which appointment or conversation your enquiry relates to. You do not need to know medical terminology.

Choose the right type of enquiry

Our online reception currently offers four options: “Termin vereinbaren” (book an appointment), “Termin verschieben” (reschedule an appointment), “Termin absagen” (cancel an appointment) and “Rezeptbestellung” (prescription request). Choose the option that fits your enquiry and follow the steps displayed. If none covers your question, please contact the practice by phone or in person. You do not have to force your question into an unsuitable option. For a new examination appointment, you can select “Termin vereinbaren” (book an appointment). You can also access the online booking calendar through “Book an appointment”. If you need guidance first, the “Appointments & enquiries” page will help. You can manage an existing appointment through “Termin absagen” (cancel an appointment) or “Termin verschieben” (reschedule an appointment) in online reception. To cancel, you can also use the cancellation option in the appointment confirmation email we sent when you booked. “Change or cancel an appointment” explains each route. If you no longer need an appointment, please cancel at least 24 hours in advance, counting working days only; weekends and public holidays do not count. For an appointment on Monday at 10 am, this means cancelling by Friday at 10 am. Please let us know even if you cannot attend at short notice. This allows other patients to use the appointment. Information on short-notice cancellations, a possible missed-appointment charge and repeatedly missed appointments is available under “Change or cancel an appointment”.

What is helpful in your message to us

Start with the most important point: which appointment would you like to book or change, or which previously discussed medicine or treatment do you need a prescription for? For an existing appointment, give the date and time if you have them to hand. Please enter your personal details in the fields provided. For a medicine prescription request, the exact name and strength as shown on the packaging or your current medicine plan are helpful. For other prescriptions, such as physiotherapy, describe what has already been discussed with you. Guidance on prescription enquiries and preparing your documents is available under “Reports, prescriptions and forms”.

Further information

Getting help in person or by phone

A form cannot cover every situation. If you get stuck while completing it or would prefer to explain your enquiry in conversation, you can discuss the next steps with the practice by phone or in person. Contact details are available under “Contact and directions”. Briefly mention whether you have already sent an enquiry. This helps the team pick up from the right point. Discussing matters in person does not guarantee an examination without an appointment; a treatment appointment is arranged separately.

What to expect and next steps

An enquiry and a confirmed appointment are different steps

After sending your enquiry, please follow the instructions displayed and look out for further replies. A message confirming receipt initially means only that an enquiry has been transmitted. It does not yet confirm an appointment, treatment or prescription. When booking online, look for the confirmation email. If it is missing or you are unsure whether the process is complete, check your spam folder too and clarify the status with the practice. Please do not send several identical enquiries or book several appointments for the same issue just in case.

If your question cannot wait

Online reception is intended for enquiries for which you can wait for a reply. If your symptoms cannot wait, find the appropriate route for help under “Acute symptoms and medical emergencies”. If there is a threat to life, call 112 immediately and do not wait for a digital reply.

Frequently asked questions

Can I use online reception for my first contact with the practice?
Yes. For a new appointment, you can access the online booking calendar directly through “Book an appointment”. Send other administrative enquiries through “Load online reception”. If you first need help choosing the right option, “Appointments & enquiries” provides guidance.
Do I need to write down my entire medical history?
No. Start by stating your enquiry and the information needed for it. A detailed medical assessment belongs in the consultation.
Does an acknowledgement of receipt mean my request is confirmed?
No. Read exactly what the response confirms. Receipt of an enquiry, a booked appointment and a medical decision are different steps.
What should I do if the form does not fit my question?
Contact the practice by phone or in person and explain what you need help with. Do not choose an unsuitable category simply to be able to submit the form.
